The primary of this position is to perform timely, accurate and professional administrative and secretarial functions while maintaining high degree of information/documents/files with complete discretion.
- Manage document flow, filing, safety and custody, as well as circulating and handling documents and discussion in the office.
- Receiving and coordinating mail for their perusal and action. Efficiently manage conflicting priorities, deadlines as well as handling information/documents/contacts.
- Collect documents/reports from different departments and review in advance before submitting.
- Manage and maintain accurate and detailed records.
- Translate documents or work as an interpreter when necessary.
- Ensure that all documents & messages have been translated/interpreted correctly, accurately and confidentially.
- Communicate, coordinate and schedule meetings/conferences on behalf of superior internally and externally via telephone/e-office, in person and in writing through e-mail messages.
- Ensure the professional and timely dispatch and distribution of such correspondence.
- Develop and maintain effective relationships with all parties internally and externally.
- Draft reports, letters of solicitation, proposals, draw relevant files in preparation for meetings and engagements (Itineraries, agenda, presentations, meeting minutes, and follows up on assigned action items).
- Assists the superior with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments, composing and preparing correspondence, arranging complex and detailed travel plans, processing travel reimbursement requests/claims.
