1. Day-to-day CEO office tasks:
- Managing, ordering office supply inventory.
- Managing filling system.
- Updating paperwork, maintaining docs, word processing.
- Overseeing the Board Room (always be clean and tidy, well prepared before meetings, etc ...).
- Managing, controlling the usage of the Board Room (reservation for other departments as requested).
- Coordinate with other departments as needed.
- Welcoming visitors to the CEO office.
- Answering internal, external phone calls.
- Taking, delivering messages.
- Managing, ordering daily coffees and meals for the CEO and Executives as requested.
2. Managing, controlling the Tracking Budget:
- Ensure that expenditures of VTI Corp and SFVT are consistently aligned with budget approval.
- Checking, tracking all PRs/ PayRs.
3. Managing, processing the expenses of CEO Office and other costs:
- Controlling, handling from beginning to end process of the CEO's expenses (house insurance, plant service, security guard, etc ...), others (BOD coffees, petrol fees, etc ...) to ensure that all service continue uninterrupted.
- Planing, ensuring expenses are accurate, under the budget and represent business expenses.
- Make sure all payments are on time, abide by the agreements, contracts, do not affect company business.
4. Managing, controlling the CEO's driver team:
- Quickly handling all problems with cars to meet CEO's required transport needs.
- Taking care of all car services (petrol, repair, mainternance, insurance, inspection,...) to be more reliable, safer to drive, less likely to need expensive repairs, increase the car’s longevity, to ensure smooth transportation.
5. Others tasks as assigned:
- Coordinate, aligning with other departments to ensure that BOD, Group EC's meetings are arranged smoothly.
- Supporting for CEO's business, traveling.
- Supporting to prepare the required docs, working with the agency, the state agencies for the applications (WP, APEC, special cases).
