Create, obtain, and maintain all export documents required to ship internationally. Audit and appprove documents generated by third party entities and ensure that all documentation meets export regulations. Provide required documentation to customers, freight forwarders, brokers, and/or drivers in accordance with determined deadlines. Retain international documentation in accordance with U.S. Customs requirements and company established procedures.
Communication with international suppliers and external third party entities to ensure timely receipt of required documentation and to provide guidance on documentation related questions.
Analyze late dcoumentation related credit requests from customers and provide relevant information and reccommendation to manager to approve or deny request.
Assist in ensuring continued export compliance of customers after initial set-up.
Accurately report international shipments to the U.S. Census Bureau and Customs and Border Protection through the Automated Export System (AES). Update AES filings when departure dates change.
Update freight invoicing log and process freight payment on designated payment days. Communicate with corporate accounts payable for tendering payment to carriers.
Maintain and retain international correspondence in accordance with established U.S. Customs requirements.
Collect and update information in accordance with team key process measures.
Maintain Standard Operating Procedures (SOPs) for the International Documentation Team; make recommendations for changes and implement upon manager’s approval.
Determine areas in need of improvement, make recommendations and assist with creating, implementing and monitoring process improvement changes.
Stay current with exporting rules and regulations as well as changes within the international shipping industry; communicate relevant findings to management.
Job Requirement
Education: bachelor's Degree in International Business or business related field, or equivalent work experience, Required
Experience: 1-3 years of Office Support, Clerical or Administrative work, Required
Knowledge, Skills and Abilities:
Able to achieve a basic understanding of Export Compliance requirements
Ability to learn the rules and regulations of documentation requirements for various countries
Able to achieve a basic understanding of export logistics and international transportation
Strong attention to detail; Excellent interpersonal skills; Excellent verbal and written communication skills
