Job Description

Reception

· Welcome and greet all visitors, guests, and employees in a friendly and professional manner.

· Maintain a clean and organized reception area to ensure a positive first impression of the Factory.

· Handle incoming phone calls, take messages, and direct calls to the appropriate personnel.

· Coordinate and guide factory tours for visitors.

· Receive, classify, and deliver documents, letters, and parcels to departments.

· Store and manage documents in the field of office administration.

· Manage and arrange meeting rooms for employees and customers of the company.

General Affairs

· Manage the relationship with sub-contractor/ outsourcing services, ensure timely and quality service delivery.

· Implement the payments of services to vendors, such as taxi costs, internet phone costs, express delivery, office electricity and water, stationery, renting trees, etc.

· Coordinate and assist HR & Admin Manager in organizing internal events, such as meetings, factory visits and workshops

· Manage the procurement and distribution of office supplies, uniforms, business cards and other stationery items.

· Handle business travel arrangements, including booking flights, hotels, and ground transportation.

· Assist in managing company assets, including equipment, supplies, and facilities.

· Implement processes for asset tracking, maintenance, and inventory control.

· Provide administrative support to various departments, including document management and correspondence.

Job Requirement

·     College degree in Business Administration, or a related field.

·     01+ years of working experience as a receptionist or in HR & Admin role.

·      Proficient in using MS Office applications

Skills (Ability to)

·      Service mindset.

·      Good communication in both Vietnamese and English.

·      Attention to detail and a professional demeanor.

·      Well-organized & multi-tasking skills.

·      Confident, enthusiastic, and collaborative.
