1. HR section:
1.1. Human Resources Administration:
- Execute all human resources needs for recruitment, training, and retaining quality associates to support the company’s business mission.
- Work with leadership team and HQ HR team to ensure effective implementation of process and procedures involved in human resource initiatives.
- Manage training program ensuring that courses are offered on all necessary topics at appropriate frequency.
- Coordinate and monitor Performance Management Reviews and ensures due dates are communicated and returns tracked.
- Support Managers and Supervisors in properly creating and delivering Performance Reviews.
- Organize and execute new hire orientation program.
- Manage and update HR policy including Policy and Procedure Manual and Associate Handbook.
- Record and maintain current associate information systems such as personal data, compensation, benefits, tax data, attendance, performance reviews, training schedules, organization charts, tenure recognition, etc.
- Prepare and analyze associate reports (i.e., turnover, overtime, etc.).
- Coordinate tracking of associate vacations, sick days, and leaves of absence with all managers and supervisors.
- Learn, understand, and then execute company HR policy, process, and procedure. Be initiative- taking to ensure Company is legally in compliance with labor laws; Help company to upgrade HR management.
- Responsible for building, promoting, and sustaining the image of the company within its local environment. He/she should be able to resolve all kinds of short, medium, and long terms operational issues through smooth communication with local government and semi-government agencies. The key objectives of the HR & Adm manager are to develop intensive network and relationship at proper levels of the local government agencies to have company recognized as a trusted, competent, and preferred partner within our community and business segment. Within the scope of this job position, he/she will have to be also competent in all permitting actions needed to get proper approval of new capital project and he/she will have to obtain continuously support from the local authorities to support the implementation of the new projects (subsidies, infrastructure, etc.)
- Manage company administration affairs like canteen, cleaner, guard, gardening, shuttle bus, compony car, compony files, accommodation of visitors, outing, annual party…. etc.
1.2. Compensation/Payroll & Benefit Management:
Follow Company C&B instructions, process, policies, and systems to fulfill below tasks:
- Counsel leadership team and managers on payroll and benefits standards, procedures etc.
- Advise leadership team and managers on participation in available benefits.
- Administer all bonus and incentive programs.
- Continuously review market compensation to ensure that salary ranges are appropriate for all positions.
- Prepare monthly reports for HQ & Company.
1.3. Associate Relations:
Follow Company instructions, process, policies, and systems to fulfill below tasks:
- Provide direction and assistance in identifying, evaluating, and resolving leadership team and managers issues.
- Coordinate presentation materials and logistics for company communication meetings in conjunction with other departments.
- Recommend appropriate training, including external courses, for individual associates as required and schedules with management.
- Champion retention strategies and ensure continual implementation and review.
1.4. Recruitment:
Follow Company HQ recruitment policies, instructions, process, and system to fulfill recruitment tasks:
- Assist with the recruitment and selection at all levels.
- Ensure that all job descriptions are complete, in the JD pool and updated.
- Support management and supervisors in all recruiting activities including website posting, advertising, campus recruiting and usage/management of external recruiters.
- Screen applicants and resumes to provide short-list to hiring manager.
- Schedule and participate in interviews as required. Develop candidate testing program; Prepare all offer letters according to standardized forms.
- Prepare orientation packages to ensure that all new associates are enrolled in both payroll and benefits and follows up that associates have completed the appropriate orientation package.
- Manage recruitment database to ensure all resumes are current and appropriate.
- Prepare termination letters on behalf of senior management in accordance with Vietnamese labor laws.
- Administer termination procedures and conduct exit interviews.
- Prepare monthly report for HQ, and recruitment budget control.
1.5. Training and Development:
Follow Company recruitment policies, instructions, process, and system to finish recruitment tasks:
- Build annual training plan and its implementation.
- Prepare monthly / yearly training report.
- Training budget control
- Support on other TD plans
2. Admin section
- Through day-to-day contact, cultivate, maintain, and develop sound relationships with local government and semi-government agencies to promote, sustain the image of the company to facilitate its aggressive development plan.
- Organize/hold/arrange and positively attend all levels of government meetings/communications/dinner with local government officials. For key points, prepare communication letters and align with internal stakeholders before outside formal communication.
- Apply for all kinds of permit/certifications that are needed for new expansion project as well as to take care of existing yearly inspection. Prepare company level documents for the permit.
- Organize/ coordinate significant Government Affairs events, assist leadership team and managers to resolve crisis that may affect branding name.
- Manage company administration affairs like canteen, cleaner, guard, gardening, shuttle bus, compony car, compony files, accommodation of visitors, outing, annual party…. etc.
- Assist leadership team and managers for all related HR topics like weekly meeting, monthly meeting, cross department communication, company documents preparation.
- Conduct specific mission(s) assigned by leadership team and managers.
