The duties and responsibilities of Student Affairs Officerinclude but is not limited to:
Pre-departure and arrival management of international and Vietnamese students (degree seeking, exchange): nomination, requests for all aspects in the process (student service), information on VGU services and procedures, also to parents
Handle student and parent requests during their stay at the institution in cooperation with faculties and administrative work units ("one stop shop" – incoming coordinator), consultation
Provide related document and evidence-based statistical number and comprehensive information to Head/Deputy Head of Academic and Student Affairs
Issue relevant documents on future student status at VGU for visa issuance with Vietnamese diplomatic missions abroad (immigration, visa extension etc.) as well as for other processes and inform the above target group on processes and standards at a public Vietnamese Institution of Higher Education, consultation
Update students on new policies, regulations via various channels/media and consult accordingly
Respond to incoming messages/ emails from international students as well as partner institutions and Vietnamese parents to handle their requests, answer questions and inquiries, provide information and consultation related to student services (policies, tuition fee, dorm, bus, student life at campus etc)
Report to superior(s) on shortcomings, urgencies and imbalances in student handling regularly/on demand
Plan and carry out events and implement intercultural and integrative measures for the international and Vietnamese student community at VGU during semesters (in cooperation with e.g. student clubs: international day/week, extracurricular activities) as well as assistance to/and organisation of incoming delegations as guests of the International Office (campus bookings and walks)
Prepare statistics, reports, official letters related to student statistics for sending institutions, authorities in Vietnam and other organizations
Support the main events of the International Office and ASA: Entrance Exam, Opening & Graduation Ceremony, Orientation week, international day, interns' activities etc
Yêu Cầu Công Việc
1. Qualification: Bachelor Degree in educational management, the humanities, English or related fields
2. Experiences:
At least 2-3 years of work experience in student related work units in higher education, preferably in an international context
3. Knowledge:
Knowledge and proven professional experience in student affairs and/or in higher education administration in general, additionally psychology, intercultural awareness would be considered as an asset.
Preference would be given to a candidate with knowledge in local infrastructure and reliable connections outside the Ben Cat campus that are relevant to the target group (services, housing)
4. Skills
Fluent in both oral and written English, both in discussions/meetings and for the delivery of reports
Excellent in MS-Office software
Outstanding communication skills, teamwork oriented attitude, problem solving skills, intercultural competence
Strong customer service orientation, creative, pro-active, can-do attitude
Presentation skills
Resilience and perseverance
