1. Administration
* Office Administration
• Coordinate and manage appointments, meetings, and schedule in order to prevent duplicate
bookings
• Maintain general office files and other files related to the company’s operations
• Manage, track stock of office supplies, equipment, and furniture and place orders when necessary
• Manage taxi cards, company grab account, phone line, internet
• Register, manage business card and parking space for employee
• Update and send internal contact list, birthday list monthly to employee
• Collect bills, invoices, check debit of services provider and submit to Accounting Department
monthly
• Contact maintenance services if problems happen
• Other office administration tasks arise
* HR Administration
• Create user/email and ensure to connect printers, scan folder for employee and manage employee
information
• Set up working space, equipment and other office facilities for employee
• Coordinate with HR Administrator for annual health check-up
• Coordinate with HR Administrator for annual accident contract renewal
• Conduct company events such as International Women’s Day, Vietnamese Women’s Day,
Halloween, etc.
• Coordinate with HR Department to organize year-end party and company trip
• Other tasks as assigned by BOD/ HR Manager
2. Reception
• Welcome visitors and direct them to the relevant office/personnel
• Receive and transfer calls, Fax to proper internal extension
• Receive and manage daily mails/ deliverer/ couriers
• Book flight, hotel, car rental for BOD, employees for business trip
• Perform other clerical receptionist duties such as filing, photocopying, collating, faxing, etc
