Job Summary: The Facilities Supervisor is responsible for overseeing the daily operations of the facilities, ensuring that the premises are safe, clean, and well-maintained. This role involves coordinating maintenance activities, managing service contracts, supervising facilities staff, and ensuring compliance with VN regulations and company policies.
Key Responsibilities:
Facility Maintenance and Operations:
- Oversee daily operations of the facilities, ensuring cleanliness, safety, and functionality.
- Coordinate and supervise routine maintenance, repairs, and inspections of equipment and systems (HVAC, electrical, plumbing, etc.).
- Ensure all maintenance activities are performed in compliance with company standards and local regulations.
Staff Supervision and Development:
- Supervise, train, and evaluate facilities staff, ensuring high performance and adherence to safety protocols.
- Develop work schedules and assign tasks to facilities team members.
- Foster a positive and productive work environment.
Vendor and Contractor Management:
- Manage relationships with external service providers and contractors.
- Negotiate and manage service contracts, ensuring timely and cost-effective delivery of services.
- Monitor contractor performance and ensure compliance with agreed terms and conditions.
Health and Safety Compliance:
- Ensure that all facilities operations comply with health and safety regulations.
- Conduct regular safety inspections and risk assessments.
- Implement and monitor safety programs and initiatives.
Budget and Inventory Management:
- Assist in the development and management of the facilities budget.
- Monitor expenditures and ensure cost-effective use of resources.
- Maintain inventory of supplies and equipment, ensuring timely procurement and proper storage.
Emergency Response:
- Develop and implement emergency response plans and procedures.
- Coordinate emergency drills and training for staff.
- Respond to facility emergencies and take appropriate action to mitigate risks.
Reporting and Documentation:
- Maintain accurate records of maintenance activities, inspections, and safety incidents.
- Prepare and submit regular reports on facility operations and performance.
- Ensure all documentation is up-to-date and complies with company policies and regulatory requirements.
